Summary

In consultation with and under the supervision of the CEO, the Recreation & Sales Coordinator is responsible for the coordination of all sports & recreation bookings and Sales activities at the Keystone Centre.
Job Duties
- Receive and schedule client bookings in the provided booking software
- Manage primary user list to ensure appropriate ice time allocation based on user priority and historic usage
- Ensure all relative details are accurate in the booking program and all changes are noted and given to appropriate personnel
- Prepare monthly invoices for all clients, including all additional services and products, under the direction of the CEO
- Communicate all related information clearly and concisely to Keystone Centre personnel including ice makers, maintenance, operations, concessions, and security
- Assist clients in coordinating any related events, such as tournaments, competitions, and clinics
- Address complaints and situations presented by customers and employees in a timely manner with a customer service attitude
- Maintain accurate files and records of all requests, bookings and communications to avoid misunderstandings and assure accuracy
- Attend all meetings as directed by Management
- As time allows, assist in booking, planning and implementing the smaller, repetitive sales events at the Keystone Centre
- Follow all Keystone Centre employee policies and procedures as outlined in the Employee Handbook
- Work with the Sales Manager to achieve and attempt to exceed budgeted room rental sales, banquet sales and beverage sales revenue numbers.
- Manage all areas of the Sales and Catering Department including booking events and functions, liaising with clients to ensure all event requirements are met, and dissemination of information to the appropriate management or staff and preparing
invoices for all goods and services. - Meet with clients to acquire all event details for meetings, banquets and special events and ensure that details are thoroughly recorded and complete including event contracts
- Provide event details to all required departments and service providers through regular weekly event sheet meetings with appropriate Managers, Staff and Service providers as required, and ensure all event details are reviewed and kept up to
date. - Follow up with appropriate Managers with any changes, additions, deletions, cancellations and final meal counts.
- Ensure all details and required services are in place on the day of the event.
- Anticipate and respond to customer, staff and management needs.
- Ensure that all required information is entered into the billing system and that the client is invoiced accurately and the same information is communicated to the Finance Department.
- Assist other operational departments as required, to ensure smooth operations and customer satisfaction
- Participate in the development of the corporate strategic plan designed to ensure the overall success of the corporation.
- Assist and provide input to the senior management team with respect to improving the financial performance of the organization.
- Maintain a highly visible profile within the business community and work to build strong working relationships with guests, clients and tenants.
- Under the supervision and with the assistance of the Sales Manager, book all significant sports, entertainment and convention events that occur in the facility including concerts, sporting events, motorsports, family events, theatrical and other
events. - Work with the Sales Manager and Executive Chef to develop and price the banquet menu.
- Develop and monitor departmental revenue and expense budgets and provide input into the budget process.
- Represent and promote Keystone Centre at conferences and trade shows that focus on events (sports, conventions, entertainment, equestrian, etc.), event management and education, hospitality and tourism as approved by General Manager.
- Network locally, regionally, nationally and internationally to promote Keystone Centre.
- Work extended and/or irregular hours including nights, weekends and holidays as needed.
Requirements
- Experience in a related field, or relevant role, considered an asset Must have exceptional organizational skills
- Demonstrated problem-solving and communication skills Ability to learn and adapt quickly to new computer programs
- Proficient use of various office based software including Microsoft Office Ability to work independently, or as a member of a team
- Ability to have a flexible schedule to accommodate events at the Keystone Centre

Box Office Attendant (Part-Time) - posted Dec. 31, 2024

The Box Office Attendant will be responsible for ticket sales, and providing excellent customer service for events, by performing the following duties:
Job Duties
- Opens and/or closes ticket window, as required
- Accurately process ticket orders, payments, and make change
- Sell tickets for regular events, season ticket packages, playoffs and other promotions
- Complete daily sales reports. Accurately reconcile balance sheet of cash, debit/credit sales
- Fills orders for ticket by telephone, handles and will call ticket pick-ups and other related duties as assigned by the Director of Ticketing
- Demonstrate excellent customer service skills; responding professionally, promptly, and efficiently to customer service requests and needs
- Able to work independently and handle most box office questions and related tasks with minimal assistance
- Efficiently and courteously answer questions concerning prices, seating, events and related Box Office questions assists co-workers as required
- Be knowledgeable of all upcoming shows, and assist the Director of Ticketing ensuring all staff are knowledgeable of upcoming shows
- Ensure the Keystone Centre Box Office is kept tidy, and presentable
- Be knowledgeable of the Ticket Master selling platform, on-line selling platform, and mobile ticketing platform in order to assist customers with all inquiries, handling confidential information with discretion and professionalism
- Representing the Keystone Centre in a professional, welcoming, and inclusive manner
- Basic reception duties including welcoming visitors to the facility and directing inquiries to admin staff as required
- Other duties as assigned by the Box Office Supervisor
Requirements
- Computer literacy
- An understanding of cash, debit and credit card sales processing, and settlement
- Ability to learn and adapt quickly to new computer programs
- Strong math aptitude and ability to pay attention to detail
- Ability to communicate well, and work as part of a team
Work Conditions
- Busy box office setting.
- Manual dexterity required to use desktop computer and peripherals.
- Interacts with public at large.
- Overtime may be required dependent on event schedule, including Brandon Wheat Kings WHL games and special events and concerts
