Recreation Coordinator (12 month contract)

Summary

Reporting to and working under the direction of the CEO / General Manager, the Recreation Coordinator is responsible for the coordination of all sports and recreation bookings, as well as supporting sales activities at the Keystone Centre. The role works collaboratively with the sales team and internal departments to ensure seamless event planning, execution, and customer satisfaction.
Job Duties
- Receive, schedule, and manage all client bookings using designated booking software
- Maintain and administer the primary user list to ensure appropriate allocation of ice time based on user priority and historical usage
- Ensure all relevant booking details are accurate, current, and communicated to appropriate personnel
- Prepare and process monthly client invoices, including additional services and products, under the direction of the CEO
- Communicate scheduling and event information clearly and effectively to all internal departments, including ice makers, maintenance, operations, concessions, and security
- Assist clients in coordinating related events such as tournaments, competitions, and clinics
- Address customer and employee concerns in a professional, timely, and service-oriented manner
- Maintain accurate records of all bookings, requests, agreements, and communications
- Attend meetings as directed by management
- Support the booking, planning, and execution of smaller, recurring sales events as capacity allows
- Adhere to all Keystone Centre policies and procedures as outlined in the Employee Handbook
- Meet with clients to gather and document all event details, including contracts and service requirements
- Communicate event details to relevant departments and service providers through weekly event sheet meetings and ongoing updates
- Follow up with managers and service providers regarding changes, additions, cancellations, or revisions
- Ensure all required services and details are in place on the day of each event, anticipating and responding to operational and customer needs
- Ensure all financial and billing details are accurately entered into the billing system and communicated to the Finance Department
- Support other operational departments as required to ensure smooth facility operations and positive customer experiences
- Participate in the development of the corporate strategic plan
- Contribute input and support to senior management initiatives aimed at improving financial performance
- Maintain a visible and professional presence within the business community, fostering strong relationships with guests, clients, and tenants
- Under the supervision of the Sales Manager, support the booking of major sports and recreational events, including sporting events, motorsports, family events, and other large-scale programming
- Assist in the development, monitoring, and management of departmental revenue and expense budgets
- Represent and promote the Keystone Centre at conferences, trade shows, and industry events related to sports, recreation, event management, hospitality, and tourism, as approved by the General Manager
- Work extended and/or irregular hours, including evenings, weekends, and holidays, as required
Requirements
- Experience in a related field or comparable role is considered an asset
- Combination of education and relevant experience will be considered
- Exceptional organizational, time management, and prioritization skills
- Strong problem-solving abilities and effective verbal and written communication skills
- Ability to learn and adapt quickly to new systems and software
- Proficiency with Microsoft Office and other office-based software
- Ability to work independently as well as collaboratively within a team environment
- Flexibility to accommodate event schedules, including non-standard working hours

Bartender (Part-Time)

Job Duties
- Ensure quality customer service
- Set-up of your bar area, which includes stock and float counts
- Clearing and cleaning of your bar space
- Working events that require bar services
- Comprehend and follow all Sodexo Live Food Safety & Health Safety Policies and Regulations
Requirements
- High school diploma or equivalent
- One year of experience is preferred
- Demonstrates exceptional customer service skills, willing to go above and beyond our guest’s expectations
- Personal and professional integrity, appearance, and demeanor

Bar Supervisor (Part-Time)

Job Duties
- Lead, coach, and motivate bar team members to deliver exceptional guest service
- Ensure compliance with all liquor laws, health & safety standards, and company policies
- Oversee bar setup, service execution, and breakdown for events
- Monitor inventory levels, product rotation, and waste control
- Support ordering, receiving, and accurate stock management
- Maintain cleanliness and organization of all bar areas
- Assist in scheduling, labour control, and payroll accuracy
- Train team members on beverage standards, upselling, and responsible alcohol service
- Address guest concerns promptly and professionally
- Drive revenue through beverage promotions and service efficiency
Requirements
- Minimum 2–3 years bar leadership or supervisory experience
- High-volume event or hospitality experience preferred
- Strong knowledge of cocktails, beer, wine, and beverage controls
- Valid provincial Smart Serve / ProServe (or equivalent) certification
- Excellent communication and leadership skills
- Ability to work evenings, weekends, and event-based schedules
- Strong organizational and problem-solving abilities
